The Ministry Coordinator role is a full-time role providing organizational, administrative, and ministry support for two connected ministries of Boca Raton Community Church. WorldLead is an international ministry of the church, focusing on: mentoring, equipping, and encouraging Christian leaders and ministry partners around the world. CityLead is one of the church’s local leader development ministries, bringing together Boca Raton business and community leaders to learn, grow, and serve others.
This role serves both ministry areas: supporting the WorldLead Director with international trips, leadership training, global partners, and ongoing ministry operations, while supporting the CityLead Director with local leadership events in Boca Raton. The ideal candidate is highly organized, relational, proactive, and able to manage multiple priorities while ensuring people, teams, and details are well prepared.
WorldLead – International Ministry Planning & Coordination
WorldLead is Boca Raton Community Church’s international ministry, partnering with Christian leaders and ministries across the globe. This part of the role supports international trips, training, partner relationships, and the practical details that help those ministry efforts flourish.
WorldLead Planning & Coordination
- Coordinate WorldLead international trips in partnership with the WorldLead Director and local ministry partners.
- Plan and purchase travel, coordinate itineraries, and obtain necessary visas and travel documentation.
- Coordinate participant registration, communication, invoicing, and collection of trip funds.
- Organize WorldLead trainings and orientations taking place in Boca Raton, including schedules, materials, communication, and logistics.
- Organize the annual WorldLead Summit, including housing, transportation, training schedules, hospitality, and week-of logistics.
- Coordinate meetings and Zoom calls with WorldLead partners, including scheduling, communication, and hosting calls as needed.
WorldLead Operations & Ministry Support
- Maintain, update, consolidate, and format WorldLead training materials, manuals, and ministry files.
- Coordinate WorldLead Gifts, including organization and follow-through throughout the year.
- Assist the WorldLead Director with ministry budgets, trip budgets, partner support, and financial information needed by the Business Office.
- Maintain organized records and systems for WorldLead trips, partners, trainings, and ministry activity.
- Proactively anticipate administrative and logistical needs and ensure important details and follow-up are completed.
CityLead Boca – Local Leader Development Ministry
CityLead Boca is the church’s local leader development ministry, connecting business and community leaders in Boca Raton through lunches, teaching, discussion, and relationship-building. This part of the role supports approximately six events each year and helps equip volunteers to serve every guest with excellence.
CityLead Planning & Coordination
- Coordinate the planning and execution of approximately six CityLead events each year under the direction of the CityLead Director.
- Manage event registrations, attendee information, communication, and follow-up leading up to each event.
- Establish clear timelines and coordinate event details to ensure each CityLead gathering is organized, welcoming, and prepared for guests.
- Coordinate hospitality needs leading up to and on event day, including guest experience, room preparation, materials, and other event logistics.
- Work collaboratively with staff and ministry teams to ensure strong alignment and execution.
- Recruit, organize, train, and lead CityLead volunteers and Team Leads, providing clear ownership and expectations for hospitality, greeting, ushering, setup, cleanup, and other event-day responsibilities.
- Oversee event-day volunteer coordination and hospitality, ensuring teams are prepared, guests are well cared for, and each event maintains a high standard of excellence from setup through completion.
Systems, Communication & Collaboration
- Maintain clear, organized, and effective systems for both WorldLead and CityLead planning and follow-through.
- Provide clear, timely, and thoughtful communication with ministry leaders, staff, volunteers, participants, partners, and guests.
- Manage multiple projects, events, trips, and deadlines while maintaining strong attention to detail.
- Collaborate effectively across ministry teams, Communications, Facilities, Production, and the Business Office as needed.
- Continually look for opportunities to improve clarity, efficiency, organization, and ministry effectiveness.
